Remote work has become increasingly popular in recent years. It allows companies to attract talent from different countries, reduce office rental costs and provide employees with flexible schedules. However, how can you ensure that your team works effectively when its members may be located in different time zones? In this article, I propose to review key tools and techniques.
1. Tools for remote work
a. Video conferencing systems
examples: Zoom, Microsoft Teams, Google Meet, TrueConf. These tools allow you to conduct meetings, training and presentations in real time.
b. Platforms for project and task management
examples: Trello, Asana, Jira, Itilium, Itil. With their help, you can assign tasks, monitor their progress, and set priorities.
c. Cloud storage
Examples: Google Drive, Dropbox, OneDrive, Yandex.Disk, Cloud.Mail.ru. They allow you to quickly share files and work on them together.
2. Organization of the work process
a. Regular meetings and reports
Hold daily or weekly meetings to discuss current tasks, identify problems and make decisions.
Example: The development team holds daily short meetings where each team member reports on their progress and any problems encountered.
b. Time tracking and KPI setting
Use time tracking systems (such as Toggl, Kick Idler or TimeDoctor) to monitor employee time. Set key performance indicators (KPIs) and review them regularly.
c. Flexible work schedule
Accounting for time differences can be difficult. Give employees the opportunity to choose work hours that suit them, but define “windows” for collaboration.
Example: If your team is distributed between Moscow and New York, set common working hours from 16:00 to 20:00 Moscow time, when both teams can work together, hold meetings, and negotiate.
3. Remote work culture
a. Continuous learning
Organize webinars, master classes and courses for employees. This will help them develop their skills and adapt to new tools.
b. Taking care of the team
Create virtual events, such as hangouts or gaming sessions, to encourage team spirit and build trust. We hold online intellectual games once a month with a prize fund.
c. Openness and transparency
Pay attention to feedback and allow employees to express their opinions. This will help build trust and increase team motivation and identify problem areas.
Remote work is not only a trend, but also an opportunity for companies to be more flexible, adaptive and multifaceted. Using the right tools and techniques, you can create an effective and productive team, regardless of geographical location.
